1. General Information
 

Amy’s Gathering Place LLC (“we,” “us,” “our”) operates as a private event and wedding venue located at 8324 Talladay Rd, Whittaker, MI 48190.
By booking or using our venue, you (“you,” “client,” “renter”) agree to these Terms and Conditions.


2. Booking and Payments
 

  • A valid booking must be made through our online booking calendar or directly confirmed by us (email or signed agreement).

  • A deposit of [10% or $120] is required to secure your date. Dates are not held without a deposit.

  • The remaining balance is due no later than [1-week] before your event date.

  • If payment is not received by the due date, we reserve the right to cancel your booking and retain the deposit.

  • All prices are listed in USD and may be subject to applicable taxes and fees.


3. Cancellations and Rescheduling

  • Client cancellation:

    • Cancellation:
      Less than [1-weeks] before the event: deposit payments made are non‑refundable.


  • Rescheduling:

    • Rescheduling is subject to availability.


  • Venue cancellation:

    • In the unlikely event that we must cancel, you will receive a full refund of all payments made.


4. Event Times and Access
 

  • Standard venue operating hours are 10:00 AM to 10:00 PM.

  • Access to the venue for setup and cleanup must occur within the agreed rental period.


5. Capacity and Use of Space
 

  • The venue can accommodate up to 75 guests.

  • You agree not to exceed this capacity for safety and compliance reasons.

  • The rental includes use of designated areas only (e.g., main indoor space, attached pavilion, restrooms, and any agreed outdoor areas).

  • Any additional spaces or special setups must be approved by us in advance and may incur extra fees.


6. Setup, Decorations, and Rentals
 

  • Tables, chairs, and basic venue furnishings included in your package will be made available as specified in your booking.

  • You are responsible for arranging décor and layout within the allowed setup time.

  • Decorations must not damage walls, floors, furniture, or fixtures (no nails, screws, permanent adhesives, or open flames unless pre‑approved).

  • Candles must be in enclosed, non‑flammable holders and approved in advance.

  • Confetti, glitter, sparklers, and similar items may be restricted; please confirm with us before use.


7. Food, Beverages, and Alcohol
 

  • Catering may be provided by you or your chosen licensed caterer, subject to our approval and any local regulations.

  • If alcohol is served:

    • You or your caterer must comply with all applicable laws and licensing requirements.

    • Guests must be of legal drinking age (21+).

    • We reserve the right to stop alcohol service if we deem consumption unsafe or excessive.

  • You are responsible for ensuring that all food and beverage providers follow proper safety and hygiene practices.


8. Conduct and Noise
 

  • You are responsible for the conduct of all guests, vendors, and service providers.

  • Excessive noise, disorderly behavior, or illegal activity is not permitted.

  • Local noise ordinances must be followed at all times.

  • We reserve the right to end an event early if behavior is unsafe, disruptive, or in violation of these Terms. No refunds will be provided in such cases.


9. Cleaning and Damages
 

  • Basic post‑event cleaning is included as outlined in your booking.

  • You are responsible for:

    • Removing all personal items and décor.

    • Ensuring trash is placed in designated bins.

  • Any excessive mess or damage to the venue, furnishings, or equipment may result in additional cleaning or repair charges, billed to you after the event.

  • You agree to pay for any such charges within [21] days of receiving an invoice.


10. Safety and Liability
 

  • You agree to follow all posted rules, safety instructions, and staff guidance while on the property.

  • Children must be supervised by an adult at all times.

  • You understand that outdoor areas and the pavilion may contain natural or environmental risks (e.g., uneven ground, weather conditions).
     

  • To the fullest extent permitted by law, Amy’s Gathering Place LLC is not responsible for:

    • Accidents, injuries, death or illnesses occurring on the premises, except where caused by our gross negligence or willful misconduct.

    • Loss or damage to personal property, décor, or equipment belonging to you, your guests, or vendors.


11. Weather and Outdoor Events
 

  • For events using the attached pavilion or outdoor areas, you acknowledge that weather conditions are beyond our control.

  • We recommend having a backup plan for inclement weather.

  • We are not obligated to provide refunds or alternative spaces due to weather unless specifically stated in your booking agreement.


12. Vendors and Third Parties
 

  • All vendors (caterers, DJs, photographers, planners, etc.) must be approved by us in advance, and may be required to provide proof of insurance or licenses.

  • You are responsible for any damage or issues caused by your vendors.

  • Vendors must complete setup and teardown within the agreed time frame.


13. Photography and Promotion
 

  • You are welcome to take photos and videos for personal use.

  • With your permission, we may use photos of your event (e.g., décor, setup, venue views) for our website and social media to showcase the venue.

  • If you do not wish your event images to be used for promotion, please inform us in writing before your event.


14. Privacy and Communication
 

  • We collect basic personal information (such as your name, contact details, and event information) to manage your booking and communicate with you.

  • We may contact you by email or phone regarding your event, follow‑up, or future offers related to the venue.

  • For more information on how we handle your data, please refer to our Privacy Policy (if applicable) or contact us directly.
     

15. Force Majeure
 

  • Neither party will be held liable for delays or cancellations caused by events beyond reasonable control, including but not limited to:

    • Natural disasters, severe weather, fire, flood

    • Government restrictions or public health emergencies

    • Power outages or other unforeseen circumstances

  • In such cases, we will work with you in good faith to reschedule your event or find a fair resolution.


16. Changes to These Terms
 

  • We may update these Terms and Conditions from time to time.

  • The version in effect at the time of your booking will apply to your event, unless changes are required by law.
